First-Time Setup

Run through these steps when you first sign up. The whole thing takes about five minutes.

  1. Fill out your Business Profile. Go to Admin → Business Profile. Enter your store name, your state, your FFL number, and whether you are SOT/Class III. This is what 4473 Pro uses to tailor your audit rules to your specific license.

  2. Set your FFL expiration date. Go to Admin → FFL Renewal Reminders and enter your expiration date. You will see a live countdown from that point on.

  3. Set an Owner PIN. Go to Admin → Security. This PIN protects owner-only features when someone else is at the computer.

  4. Create staff logins. Go to Admin → Staff Accounts and add an account for each employee. They get an email to set their own password.

  5. Build your Daily Tasks list. Go to Admin → Daily Tasks and add the things you want your staff to check off every day — opening procedures, compliance reminders, closing steps.

  6. Add your store's policies. Go to Admin → Policy Library and add your layaway policy, consignment terms, trade-in rules, or anything else your staff looks up regularly.

💡 Get This Right First Your state and SOT status in the Business Profile affect how audits are scored. Make sure these are correct before you run your first audit.

4473 Auditor

The Auditor checks your ATF Form 4473 the same way an ATF inspector would — field by field. Upload a form (scanned PDF or phone photo), click Run Audit, and get a plain-English report in about 60 seconds.

Running an Audit

  1. Click Auditor in the sidebar or from your dashboard.

  2. Drag your file into the drop zone, or click the drop zone to browse for it.

  3. Click the gold ▶ Run Audit button.

  4. Wait about 60 seconds. Results appear on screen.

  5. Click Download Report right now. Do not wait. See the warning below.

🚨 Download Before You Leave the Page Reports are NOT saved automatically. The moment you close the tab, refresh the page, or navigate away, the report is gone forever. Click the gold Download Report button the second the audit finishes — every single time.

Auditing Multiple Forms at Once

Put your forms in a ZIP file and upload the ZIP. 4473 Pro audits each one in order and shows results as they come in. There is a short pause between forms.

⚠️ One Form Per File Each PDF should contain one 4473 only. If a PDF has multiple customers' forms in it, split it into separate files first.

Every required field is complete and correct. No action needed — the form is good.

Fix Before Completing the Transfer

Something is wrong — a missing field, a date error, an unchecked box. The report tells you exactly what to fix.

Serious Issue — Stop

A serious compliance problem was found — a prohibited person indicator, a NICS denial, or similar. Do not complete this transfer.

Reading the Report

  1. The verdict banner at the top gives you the overall result at a glance.

  2. The report is broken into sections (Section A, B, C, D, etc.). Each section shows pass or issue.

  3. Click any section to expand the details. Flagged fields include a plain-language explanation of what is wrong and what to do.

  4. Use Expand All / Collapse All to open or close everything at once.

  5. Click the gold Download Report button to save it.

ℹ️ 4473 Pro Helps — It Doesn't Decide The auditor is a tool. The final call on every transfer is yours as the licensed dealer. If you disagree with a flag, use your judgment. When in doubt, consult ATF guidance or your compliance attorney.

Audit History

Audit History keeps a record of every audit you have run — verdict, date, and a summary of issues found. Access it from Admin → Audit History or the sidebar.

  • Search and filter by date, verdict, or name.
  • Click any record to view the full audit report for that transaction.
  • Records are automatically purged after 1 year. Save or download any reports you want to keep long-term.
ℹ️ Forms Are Never Stored Audit History saves the result and metadata only — never the actual form image. Your customers' forms never live on 4473 Pro servers.

Transfer Check

Transfer Check tells you what is required to legally complete an out-of-state long gun transfer. Select the buyer's state, hit Check, and see any waiting periods, permit requirements, or restrictions that apply.

  1. Click Transfer Check from your dashboard or the sidebar.

  2. Select the buyer's state of residence.

  3. Click Check Transfer Rules.

  4. Review the requirements shown before starting the transaction.

⚠️ Long Guns Only Transfer Check covers out-of-state long gun (rifle and shotgun) transfers. Handguns must go to a dealer in the buyer's home state — you cannot sell a handgun directly to an out-of-state buyer.
💡 Staff Can Use This Too Transfer Check is available to staff users from their own dashboard. Your counter staff can run a check without needing owner access.

Staff Accounts

Create individual logins for each employee. Staff get access to the tools they need at the counter — nothing more.

Creating a Staff Account

  1. Go to Admin → Staff Accounts.

  2. Click Add Staff Member.

  3. Enter the employee's name and email address.

  4. Click Create. They will receive an email with a link to set their password.

What Staff Can Access

  • Transfer Check — state transfer rules
  • Knowledge Base — the full 4473 Pro library plus your store's own entries
  • Daily Tasks — view and check off the lists you have built

Staff cannot see billing, the 4473 Auditor, audit reports, settings, or staff management.

Removing a Staff Member

Go to Admin → Staff Accounts, find the employee, and click Remove. Their login is disabled immediately.

💡 One Login Per Person Give each employee their own account — do not share a single staff login. Individual accounts let you manage access properly.

Daily Tasks

Build checklists that your staff sees and checks off every day. Good for opening procedures, closing steps, compliance reminders, or anything that needs to happen on a regular schedule.

Building Your Task List (Owner)

  1. Go to Admin → Daily Tasks.

  2. Type a task in the input field and press Enter or click Add.

  3. Drag tasks to reorder them. Click the trash icon to delete one.

  4. Click Save. Staff see the updated list right away.

Completing Tasks (Staff)

Staff see the task list on their home dashboard. They check items off as they complete them. The list resets automatically each morning so it is fresh every day.

💡 Task Ideas Opening: unlock cases, check alarm, verify bound book is current. Closing: secure all firearms, log completed transfers, set alarm. Weekly: review NICS delay list, inspect consignment inventory.

Policy Library

The Policy Library is your store's private section of the Knowledge Base. Add your own entries — policies, procedures, vendor contacts, anything your staff looks up regularly — and they show up immediately in Knowledge Base search results.

Your entries are only visible to your store. They appear with a green Your Shop badge and sort to the top of every search result above 4473 Pro's standard entries.

Adding an Entry

  1. Go to Admin → Policy Library.

  2. Click Add Entry.

  3. Give it a clear title — this is what shows in search results.

  4. Write the content in plain text.

  5. Add tags — comma-separated keywords that help staff find it when searching. Example: layaway, deposit, holds, payment plan

  6. Click Save.

💡 What to Add Layaway terms, consignment agreement, trade-in pricing rules, store hours and emergency contacts, vendor phone numbers, your prohibited person ID procedure, range safety rules.

FFL Renewal Reminders

Your FFL must be renewed every three years. A lapsed license means you cannot legally transfer firearms until it is reinstated. The FFL Renewal page gives you a live countdown so you always know exactly how much time you have left.

  1. Go to Admin → FFL Renewal Reminders.

  2. Enter your FFL expiration date. This is printed on your FFL certificate.

  3. Click Save. The countdown starts immediately.

⚠️ Start Your Renewal Early The ATF recommends beginning your renewal at least 90 days before your expiration date. Your countdown will highlight the 90-day window so you know exactly when to act.

ATF Response Templates

If you have received a letter from the ATF — a warning letter after an inspection, a demand letter, a request for information — this section gives you pre-written response templates as a starting point.

  1. Go to Admin → ATF Response Templates.

  2. Browse or search for the type of correspondence you received.

  3. Click to view the template. Your business information is pre-filled where applicable.

  4. Copy the text and customize it for your specific situation.

🚨 Always Have an Attorney Review Your Response These templates are a starting point only. Any response to official ATF correspondence should be reviewed by a licensed FFL attorney before you send it. A poorly worded response can make things worse.

Settings & Billing

Business Profile

Go to Admin → Business Profile to update your store name, state, FFL number, and settings like SOT/Class III status. Keep this accurate — it affects how your audits are scored.

Security (Owner PIN)

Go to Admin → Security to set or change your Owner PIN. This protects owner-only features on shared computers. Use the reset option on that page if you forget your PIN.

Billing

Go to Admin → Billing to manage your subscription.

  • Your subscription renews automatically each month (or year for annual billing).
  • To cancel: click Cancel Subscription. Access continues until the end of the current billing period. No refunds for unused time.
  • To update your payment method: click Update Payment Method to open the secure Stripe billing portal.

Go to Admin → Support & Feedback to send a message to the 4473 Pro team. Choose Support Issue if something is broken, or Feature Request if you have an idea. We read every one.

When a staff member logs in, they land on the Staff Dashboard — a clean, focused home screen with everything they need during a shift.

  • Audit History — view past audit reports (read only, no running new audits)

Staff do not see billing, settings, staff management, or the 4473 Auditor. Their view is kept simple on purpose.

Knowledge Base

The Knowledge Base is available to everyone — owner and staff. It is a searchable library built for the gun counter. When a customer asks something you are not sure about, search it before you guess.

What's In It

  • NFA rules — suppressor paperwork, wait times, Form 4 process
  • Suppressor models and manufacturer specs
  • 4473 field-by-field breakdowns
  • NICS procedures — delays, denials, cancellations

How to Search

  1. Type your question or keywords into the search box. Plain language works fine — "what thread pitch for VP9" works just as well as "HK VP9 thread pitch".

  2. Press Enter or click the search button.

  3. Results appear ranked by relevance. Your store's own entries appear first.

What the Badges Mean

  • 4473 Pro (gold badge) — maintained by 4473 Pro. General industry knowledge.
  • Your Shop (green badge) — added by your owner. Specific to your store. Always appears first.
  • ⚠️ Verify (amber badge) — time-sensitive info (prices, wait times, model availability). Confirm before advising a customer.

Frequently Asked Questions

Does 4473 Pro store my forms or customer information?
No. Forms are never stored. The form goes to the AI for analysis, the result comes back to you, and the form is discarded. The only thing stored is your business profile (store name, FFL number, state) used to configure your audit rules.
My audit came back with an error. What do I do?
The most common causes are a blurry or dark image, the form being cut off in the photo, or a temporary server issue. Try uploading a cleaner image. If it keeps failing, use Admin → Support & Feedback to report it.
I closed the tab before downloading my report. Can I get it back?
No. Reports are not saved automatically and cannot be recovered after the tab is closed. You will need to run the audit again. Going forward, click Download Report the moment the audit finishes — every time, without exception.
The audit flagged something but the form looks fine to me. What should I do?
Review the specific flag and use your professional judgment. 4473 Pro is a tool — not the final authority. If you disagree with a flag after reviewing it, make your own call. When you are unsure, consult ATF guidance or your compliance attorney.
A staff member forgot their password. How do I reset it?
Have them go to the login page and click "Forgot Password." A reset email will be sent. If it does not show up, check spam. If they still cannot get in, contact support.
How do I add my store's policies to the Knowledge Base?
Go to Admin → Policy Library, click Add Entry, fill in the title, content, and tags, then save. Your entry appears in Knowledge Base search results immediately with a green "Your Shop" badge at the top of results.
Can staff run 4473 audits?
No. The 4473 Auditor is owner-only. Staff have access to Transfer Check, the Knowledge Base, and Daily Tasks. The audit feature requires owner-level login.
How do I cancel my subscription?
Go to Admin → Billing and click Cancel Subscription. Your access continues until the end of the current billing period. No refunds are issued for unused time.
